What we automate, in plain terms.

14 automations operations teams ask for, each with what it replaces, how it works and what you need to start. Builds start at £1,250 and the price is fixed after scoping.

These describe what we build, not past client projects. Every build is tested on your own data before go-live.

Shop orders into your accounts

Replaces: Keying orders, refunds and payout fees from Shopify or WooCommerce into Xero or QuickBooks.

How it works: Each order, refund and payout posts to your accounts with the right tax and fee lines. Anything that does not match is held with the reason instead of posting.

You need: Admin access to both systems and your chart of accounts.

Supplier price and stock files into your shop

Replaces: Opening supplier spreadsheets and updating prices and stock by hand.

How it works: The file is collected when it arrives by email or SFTP, checked against your rules (for example, no price change over 20% without a person), shown as a preview, then applied. Every change is logged and can be undone.

You need: A sample of each supplier’s file and the rules you apply today.

One customer record across CRM and accounts

Replaces: Re-typing new customers and their details into a second system.

How it works: New and changed customers flow one way, from the system you name as the master copy, with duplicates flagged rather than created.

You need: Access to both systems and a decision on which one is the master.

Reading supplier invoices and orders

Replaces: Typing supplier, totals and line items from PDFs into a spreadsheet or accounts.

How it works: Documents arriving in an inbox are read, the totals are checked to add up, and the results are posted. Anything the model is unsure of goes to a person with the document attached.

You need: Fifty past documents with the right answers, so accuracy is measured before go-live.

Sorting products into your categories

Replaces: Categorising new supplier products by hand, slowly and inconsistently.

How it works: A model sorts each product into your own categories. Accuracy is measured on your past examples first, and low-confidence items are held for a person.

You need: Your category list and a few hundred products already sorted correctly.

Routing customer emails

Replaces: Reading every message in a shared inbox to decide who should deal with it.

How it works: Each message is tagged by type and urgency and sent to the right person or queue. Personal data stays on a model we run for you unless you sign off otherwise.

You need: Access to the inbox and examples of each type of message.

The weekly trading pack

Replaces: Pulling sales, margin and stock figures into a spreadsheet every Monday.

How it works: Figures come straight from your shop, accounts and stock systems, are checked against last week’s totals, and arrive as a finished pack at the time you set.

You need: Read access to each system and the pack you build today.

Daily stock reconciliation

Replaces: Comparing stock between the shop, the warehouse and the accounts when something looks wrong.

How it works: Every day, stock in each system is compared and the differences are listed by product, with the size of each gap.

You need: Access to each stock source and the product codes that link them.

Nightly catalogue checks

Replaces: Finding catalogue errors when a customer or marketplace does.

How it works: The checks behind our free catalogue check run every night and flag new errors the day they appear.

You need: Your store address, and admin access only if you want fixes applied.

Checking invoices before they go out

Replaces: Spot-checking invoices against agreed rates and purchase orders.

How it works: Every invoice is checked against the order, contract rates and your rules before it is sent. Failures are held back with the reason.

You need: Your invoicing system and the rules a reviewer applies today.

Staff rotas that keep the rules

Replaces: Building rotas in a spreadsheet and checking cover and working hours by eye.

How it works: Rotas are built from availability and cover needs, then checked against UK working-time rules and your own before anyone sees them.

You need: Staff availability, cover levels and any rules in contracts.

Delivery slots and capacity plans

Replaces: Re-planning by hand every time an order or a person changes.

How it works: Plans re-run when something changes, and clashes or overloads are flagged before they happen.

You need: Your capacity limits and the orders or jobs to be planned.

Purchase approvals

Replaces: Chasing approvals over email and losing track of who agreed what.

How it works: Requests go to the right approver by amount and type, with reminders and a full record of every decision.

You need: Your approval limits and who signs off what.

Returns tracking

Replaces: Following returns across emails, a spreadsheet and the warehouse.

How it works: One place records each return, its stage and its outcome, with the warehouse and customer updated at each step.

You need: How returns work today and the systems involved.
